QuickBooks Books Upkeep: What to Hand Over First

On August 12, 2026, Intuit put a bookkeeper inside the QuickBooks subscription. The new service is called Books Upkeep. It runs through the month, codes high-confidence transactions under rules you set, and labels every automated action. The same release added Intuit Intelligence Chat, in beta, a conversational assistant that can ask about performance and start a workflow only after you confirm. If you already close the books or bid jobs, that is real help in software you already pay for.

Intuit built something worth turning on. A licensed CPA who is still the close, a contractor who is still the bookkeeper, a bidder still pricing this week on last year's costs, and a plant owner who is still the only person who knows the real cost all gain if the software takes the slice they would trust a junior with. The gap is which P&L job you hand over, and what it may not post, before Books Upkeep runs the month. A stop rule, meaning the named line the assistant may not cross without you, has to be written before the first coded bill, not after the crew asks where the cash went.

Startup Miracle sits with owners who already pay for QuickBooks and still rerun month-end by hand. We help you pick the close slice and write that stop rule so the month does not code itself.

Inside the subscription

Intuit's investor release landed on August 12, 2026. QuickBooks Online Advanced now folds AI-driven bookkeeping into the core plan. Books Upkeep is the name of that service. Intuit says it keeps the books current through the month and shortens the close by resolving high-confidence transactions automatically, under rules the customer sets, and by surfacing only the exceptions that need a person.

Intuit Intelligence Chat is the other half of the launch. It is a conversational view into the numbers. You can ask how projects track against budget, run a report, or start a workflow in plain language. Intuit says the chat acts only after the user confirms. That confirmation is the control. It is also easy to treat as a formality if you have not named the job.

The same page cites Intuit's 2026 Future of Finance Report, a May 2026 survey of 2,000 US CFOs, controllers, and VPs at firms over $2.5 million. High-growth multi-entity finance leaders were more than twice as likely to use AI in finance workflows than slower-growth peers. That is Intuit's research. It does not tell you which process to hand over first.

Books Upkeep, in Intuit's own words, is an AI-powered bookkeeping service inside QuickBooks Online Advanced. It runs continuously, not as a month-end sprint. High-confidence transactions get coded under rules you write. Exceptions wait for you. Every automated action is labeled. Chat, still in beta, can recommend a next step and does not act until you say yes. A first AI hire, in the way we use the phrase, is a decision rather than a product: the single process you hand over first, with a way to check the work and one number that tells you whether it is paying off. "Code vendor bills under these three rules and hold anything over $500 for me" is that decision. "Let it run the whole month" is a wider open.

Who still owns month-end

Jason Corby, founder and CFO of HFMM Legacy Group, told Intuit he saved 10 to 15 hours a week after consolidating on Intuit Enterprise Suite. Logan Wright, general manager at Select Door and Hardware, told Intuit the shop saves around 16 hours a month using AI and workflow automations in QuickBooks Online Advanced. Those are named customer quotes on Intuit's August 12 release, not an independent study.

For a licensed CPA who is still the close, those hours are billed work you never get to if month-end still reruns by hand. Let Books Upkeep take the high-confidence slice you would trust a junior with. Keep the rest behind the stop rule until you have watched it work.

For a contractor who is still the closer and the bookkeeper, 16 hours a month is a week of jobs if the coding is right. If the software codes a job wrong, you look sloppy when the crew asks where the cash went. Name the books job and the estimate job before Books Upkeep runs all month. High-confidence vendor bills can go. Job-cost classes that decide whether the truck made money stay with you for two weeks.

Last July's prices in this week's bid

The other leak is not the close. It is the bid.

The Associated General Contractors of America reported on August 13 that the producer price index for inputs to new nonresidential construction rose 7.1 percent from July 2025 to July 2026. That 7.1 percent is AGC's reading of BLS PPI data released that day, not an Intuit claim. In the same analysis, diesel jumped 44.2 percent and steel mill products 22.5 percent. Construction production and nonsupervisory wages rose 5.2 percent year over year in the government report published August 7, the largest increase since January 2024.

The same week, Intuit said QuickBooks Online Advanced now ships AI-generated estimates that catch budget overruns before they erase margin. That is a genuine use of the launch. A contractor who bids this week on last year's costs can win a job that already lost money before the first truck rolls. The 7.1 percent climb has to be in the bid. No estimate posts until a person has checked the input prices the model did not see last July.

For a plant owner, Intuit says 95 percent of businesses migrate to Intuit Enterprise Suite in 30 days or less. That 95 percent is an Intuit product claim, not an independent audit. Manufacturing and inventory features, including units of measure and multilevel bill of materials, are in beta. A 30-day migration is a clock. It is not a cost-of-goods process. Name how you buy, stock, and sell before you move, or COGS stays wrong while the login looks finished.

Close the slice, then flip the switch

I would hand a neighbor three checks before they turn Books Upkeep on.

1. Pick the close slice.

Say it out loud. High-confidence vendor bills. Recurring rent. The three classes you already trust. Not "do the books." A CPA picks the close that still lives in one head. A contractor splits job costing from the estimate. A plant picks cost of goods and the bill of materials. If you cannot name the slice, do not hand over the month.

2. Write what it may not post.

The assistant may draft. It may not post the close. It may show an estimate. It may not send the bid. It may migrate the file. It may not go live on COGS until units of measure match how you buy and sell. Chat, still in beta, may recommend. It acts only after you confirm, and that confirm is the stop rule, not a click-through. If you want a second opinion on which job to pick first, take the free AI Readiness quiz. That is what it is for.

3. Watch one number for two weeks.

Hours back only count if the books still reconcile. For the firm, it is close days or billed hours recovered. For the shop, it is jobs coded right, not just hours saved. For the bidder, it is whether the estimate includes the 7.1 percent input climb. For the plant, it is whether cost of goods matches the floor. If the number does not move, turn the rule down. Do not add more automation to a job you have not named.

You already pay for the close software

Intuit put a bookkeeper inside the plan. For an owner tired of recoding the same bills, that is a fair upgrade. What it will not do is choose the P&L job for you. That choice is still the close slice, the estimate, the cost-of-goods rule, and what may not post without you.

You already pay for the books software. Startup Miracle built the quiz so you pick which P&L job gets the first hire before the month codes itself.

FAQ

What is QuickBooks Books Upkeep?

Books Upkeep is an AI bookkeeping service Intuit added to QuickBooks Online Advanced on August 12, 2026. It runs through the month, codes high-confidence transactions under rules you set, labels every automated action, and leaves exceptions for a person.

How do I use Books Upkeep without handing over the whole close?

Name the one slice it may code, write a stop rule that says it may draft but may not post the close, the bid, or cost of goods without you, and watch one number for two weeks. Intuit Intelligence Chat is in beta and, per Intuit, acts only after you confirm.

How much time are Intuit customers claiming back?

On Intuit's August 12 release, Jason Corby of HFMM Legacy Group said he saved 10 to 15 hours a week, and Logan Wright of Select Door and Hardware said around 16 hours a month. Those are customer quotes on Intuit's page, not an independent study.
